Import Journals Not Importing Fully

Modified on Mon, 11 Nov at 12:31 PM

Nominal journals can be imported into Navigator using a CSV spreadsheet. However, to ensure a successful import, the data must be correctly formatted so that Navigator can understand and process it.

Requirements for Import Formatting

  1. Correct Headers:

    • All headers in the spreadsheet must exactly match the header names in Navigator. Ensure spelling, capitalisation, and order are correct as per Navigator’s requirements.
    • Refer to the example image provided for the correct header setup.
  2. Data Formatting:

    • The data within the spreadsheet should be formatted in a way that is compatible with Navigator. The most reliable format to use is the General format in Excel.
    • How to Apply General Format:
      1. Select the entire spreadsheet by clicking the box at the top-left corner (above Row 1 and left of Column A).
      2. Go to the Home tab in the Excel ribbon.
      3. Click on Format in the Cells group.
      4. Select Format Cells from the dropdown menu.
      5. In the Format Cells window, choose General and click OK.
  3. Applying the General format helps ensure that data, especially numerical values and dates, are correctly interpreted during the import process. Double-check to make sure that no data has inadvertently changed during formatting.

Additional Tips for Successful Import

  • Check for Extra Spaces: Ensure there are no leading or trailing spaces in your data entries, as this can cause errors during import.
  • Validate Data: Before importing, review your data for any inconsistencies, such as incorrect date formats or misplaced decimals.
  • Save as CSV: Once formatted, save your file as a CSV (Comma-Separated Values) to maintain compatibility with Navigator.
