Creating Nominal Shortcuts

Nominal shortcuts simplify the process of accessing specific nominal codes in your accounting system. These shortcuts help ensure consistency, save time, and reduce errors by predefining codes for branches, departments, and other elements.


Step-by-Step Instructions

1. Access the Accounts Section

  • Navigate to the Accounts section on the left-hand side of your accounting software.

2. Open the Nominal Ledger

  • Locate and click on the Nominal Ledger option.

3. Go to Utilities

  • Click on the Utilities icon and then select Set Up.

4. Access the Shortcut Tab

  • Once the setup screen appears, click on the Shortcut tab to manage nominal shortcuts.

5. Create a New Shortcut

  • Click on the Create button.
  • Enter a descriptive name in the Description field (e.g., "Parts Revenue" or "Service Expenses").
    • Tip: Use a naming convention that groups similar shortcuts together alphabetically for easier navigation.

6. Enter the Nominal Code

  • Manually input the nominal code if you already know it, OR:
  • Use the Lookup button to find and select the desired code:
    • Begin typing part of the code in the Code box and press Tab.
    • A list of available codes from the Chart of Accounts will appear.
    • Double-click on the desired code to select it.

7. Complete the Shortcut Details

  • Populate additional fields such as:
    • Branch
    • Department
  • Confirm the structure of the nominal code.

8. Save and Update

  • Once all fields are populated, click OK to save the shortcut.
  • Click Update to finalise the creation.

Viewing and Organising Shortcuts

  • Your newly created shortcut will now appear in the list.
  • The list is organised alphabetically, so consider starting descriptions with relevant keywords like "Parts" or "Service" to make navigation easier.
