How to Amend the Import Journal Template to Include an Account Number

Adding an Account No column to your import journal allows transactions to be posted directly against specific customer or supplier accounts within the nominal ledger. This is essential for accurate debtor, creditor, and general ledger control, especially when importing sales, purchases, or adjustments involving third parties.

The Account No ensures that values are tied to the correct party, allowing for clear aged balances, account statements, and audit trails.


How to Add the Account Number Column

  1. Open your import journal template (Excel or CSV).

  2. Add a new column and label it: Account No.

  3. For each transaction row, enter the corresponding customer or supplier account number. This needs to include the company number, so for account 44 in company 1 will be entered as 010044.

  4. Leave blank if the transaction does not involve a debtor or creditor account (e.g. internal cost reallocation).

  5. Save the file for import.
