The Nominal Transaction Report allows you to view accounting transactions associated with a particular vehicle using its Navigator Stock Number.
This is particularly useful when investigating vehicle costs, checking accounting postings or identifying unexpected balances in accounts such as Sales Suspense.
How to Find Transactions for a Vehicle
Navigate to Nominal Ledger > Transaction Report.
Select the Search option at the top of the report.
Change the search criteria to Stock Number.
Enter the vehicle's Navigator Stock Number.
Click Report.
Navigator will display the nominal transactions associated with that stock number.
Tip: You can also search using other references, including Batch Numbers and Invoice Numbers, when investigating specific transactions.
How to Group Transactions by Nominal Code
To make the results easier to understand, you can group the transactions by their nominal account.
Locate the Full Code column in the report.
Click and hold the Full Code column heading.
Drag it into the grouping area above the report grid.
Release the column heading.
Use the arrows beside each group to expand the transactions.
The report will now group transactions by their full nominal codes, making it easier to review the accounting activity against each account.
Understanding the Results
Grouping transactions by Full Code allows you to identify the debits, credits and any remaining balances associated with each nominal account.
For example, when investigating a vehicle sale, you may find transactions relating to:
Vehicle Stock
Vehicle Sales
Sales Suspense
Cost of Sales
Reviewing these transactions can help you understand how the vehicle has been accounted for and whether any balances remain outstanding.
Example – Investigating a Sales Suspense Balance
A vehicle deal has been closed, but the Schedule Nominal Report still shows a balance against the vehicle in Sales Suspense.
To investigate:
Make a note of the vehicle's Stock Number.
Open the Nominal Transaction Report.
Search using the Stock Number.
Group the results by Full Code.
Expand the Sales Suspense nominal code.
Review the debits and credits to identify any remaining balance.
Normally, once a vehicle deal has been closed, its corresponding Sales Suspense balance should have cleared.
If a balance remains, the transaction report can help identify which postings contributed to the difference.
Important: A remaining balance does not automatically identify the cause of the discrepancy. Further investigation may be required.
What If I Cannot Identify the Problem?
If the transactions do not clearly explain the discrepancy, contact the Navigator Helpdesk.
Where possible, provide:
The vehicle's Stock Number.
The nominal code showing the difference.
The amount of the outstanding balance.
A screenshot of the relevant transactions.
This will help the team investigate the accounting entries.
Do not post additional journals simply to clear an unexplained balance without first confirming the cause.
Summary
To view the nominal transactions associated with a vehicle, open Nominal Ledger > Transaction Report, search by Stock Number and click Report.
You can then group the results by Full Code to review transactions against individual nominal accounts.
This is particularly useful when investigating outstanding Sales Suspense balances or checking how vehicle transactions have been recorded in Navigator.
