When attempting to cancel a host deal, you may encounter the error message:
“Part Exchange is closed.”
This error occurs when the part exchange (P/X) vehicle has been moved to a different branch from the host deal, preventing the system from processing the stock credit.
Why This Happens
The stock crediting process requires that both the host deal and the associated part exchange be in the same branch. If the P/X vehicle has been relocated, the system considers it "closed" in the context of the original transaction, which leads to the error.
Steps to Resolve the Issue
1. Check Branch Alignment
Verify that both the host deal and the part exchange vehicle are currently assigned to the same branch.
- If the host deal is in Branch 3 and the part exchange is in Branch 2, this misalignment will cause the issue.
- The system requires both records to exist in the same branch to process stock credit.
2. Transfer the Part Exchange Back to the Correct Branch
If the P/X has been moved to a different branch, you will need to transfer it back to the branch where the host deal is recorded.
To transfer the P/X back:
- Navigate to the Stock Management or Vehicle Administration module in your system.
- Locate the P/X vehicle record.
- Select the Transfer Branch option.
- Move the P/X back to the branch where the host deal is recorded.
- Save the changes and confirm the transfer.
3. Retry the Stock Credit Process
Once the P/X has been moved back to the correct branch:
- Attempt to cancel the host deal again.
- The system should now allow you to credit the stock record without the "Part Exchange Closed" error.
