When preparing to delete a stock vehicle record, all associated costs must be fully reversed. Costs can be posted to a stock record in various ways, such as through parts, workshop jobs, or road fund licence (RFL) charges. Each type of cost must be reversed using the appropriate method.
Steps to Reverse Costs by Category
1. Parts-Related Costs
? How to Reverse:
- If a part was booked to the stock vehicle, request the Parts Department to credit the part from the stock vehicle using the Point of Sale system.
2. Workshop Jobs
? How to Reverse:
- If the stock vehicle has incurred workshop costs, ask the Service Department to credit the job through the workshop system.
3. RFL and Other Dealer Costs
? How to Reverse:
- Navigate to the Purchase Status tab within the stock record.
- Select Post Purchase.
- Reverse costs by posting them as negative values.
Final Verification: Ensuring Cost Analysis Equals Zero
1️⃣ Open the stock record and navigate to the Purchase Status tab.
2️⃣ Select Cost Analysis to review all outstanding costs.
3️⃣ Ensure that the total costs net to zero (all credits have been processed).
4️⃣ Once the Cost Analysis equals zero, the stock record can be deleted.
? Important: The system will not allow the deletion of a stock record until all costs are fully reversed.
