This article explains why the model of a new vehicle stock record cannot be amended once created, and outlines the correct process for addressing errors when the wrong model has been selected.
Changing vehicle details is sometimes necessary when an input error is made. However, for new vehicles, the process differs significantly from that of used vehicles due to how pricing and specifications are managed in the system.
Why You Cannot Change the Model of a New Vehicle
Unlike used vehicles, where attributes can be edited more freely, new vehicle stock records are tightly integrated with manufacturer price lists. These price lists control not just the base price of the model but also:
Factory options and available features,
On-the-road pricing,
Derivative-specific attributes,
Manufacturer codes used for ordering and invoicing.
Because of this tight integration, allowing users to manually amend the model could lead to inconsistencies in pricing, specification errors, and incorrect ordering or reporting. For this reason, the system deliberately restricts edits to a new vehicle’s model after it has been created.
Correct Process to Follow
If a new vehicle stock record has been created with the wrong model, you will need to follow a specific process to correct it:
1. Cancel the Incorrect Stock Record
Delete the current stock record with the incorrect model.
This is only possible if the vehicle has not yet been sold or invoiced.
2. Recreate the Stock Record
Create a new stock record using the correct model.
Ensure the correct pricing and factory options are pulled from the price list.
3. If the Vehicle Has Already Been Sold or Invoiced
If the stock record has already progressed through the sales process:
Credit any sales invoices that were raised.
Cancel the deal associated with the incorrect stock record.
Only once these actions are completed can the stock record be deleted.
After deletion, proceed to create a new stock record with the correct model and restart the sales process as needed.
Key Considerations
Timing is critical: Errors should be identified and corrected before the vehicle is sold or invoiced where possible.
