How to Release Jobs in Navigator

Releasing a job in Navigator marks the final stage in the service workflow. This process ensures that payment (if required) is collected, the job is correctly closed off in the system, and the relevant financial records are updated. It is an essential part of both customer service and back-office reconciliation, linking workshop activity with accurate revenue tracking.

Users should release jobs once they have been invoiced and either payment has been received or the balance is zero.


When to Use This Process

  • After a job has been fully completed and invoiced.

  • When a customer is collecting their vehicle.

  • To ensure all financial transactions are posted to the till reconciliation.

  • To update the T-Card view and remove completed jobs from active workflow.


Step-by-Step Guide: Releasing a Job

1. Locate the Job

  • Find the job by navigating to the Invoiced column.

  • Alternatively, use the Job Search function to locate it by job number or customer details.

2. Load the Job

Click on the job to load its full details.

3. Select ‘Release Job’

Once the job is open, click the Release Job button.

4. Review Payment Details

The system will automatically display the amount to collect from the customer.

  • If payment is required, you must select the method before proceeding.

  • If no payment is due (e.g. covered by warranty or zero-balance customer account), the amount will show as £0.00 and you can proceed directly.

5. Choose a Payment Method

Select one of the following options:

  • Card

  • Cash

  • Cheque

Ensure the customer completes the transaction using the selected method.

6. Finalise the Release

Click the Release button once payment is confirmed (or if no payment is required).


What Happens Next?

  • The job is removed from the T-Card screen, indicating it is no longer active.

  • The transaction is posted to the Till Reconciliation, updating your financial reporting.

  • The job is now fully completed in the system.


Important Notes

  • Only jobs in the Invoiced column can be released.

  • Do not attempt to release jobs before they have been invoiced.

  • Always ensure payment is accurately recorded before clicking Release.
