Creating a Used Vehicle Stock Record

This guide explains how to create a used vehicle stock record within Navigator using the Vehicle Administration Toolkit. This process ensures that accurate details are recorded when bringing a used vehicle into inventory, whether sourced from trade, auction, or part exchange.

Step-by-Step: Creating a Used Vehicle Record

1. Open the Vehicle Admin Toolkit

• Log into Navigator.

• Navigate to the Vehicle Administration Toolkit.

• Select the Add Vehicle section.

2. Select Vehicle Type

1. Click the Used button.

2. A pop-up window will appear.

3. Select the vehicle type (e.g. Car).

3. Enter Vehicle Registration

1. Input the vehicle registration number.

2. Click the VRM button to perform a lookup.

• The system will auto-populate the:

  • Description

  • Specification

  • Colour

⚠ If the VRM details are incorrect or missing, click Change to manually edit them.

4. Add Purchase Details

1. Select who purchased the vehicle within the dealership.

2. Select the Supplier by:

   • Searching by Account Number or Account Name.

5. Complete Purchase Fields

• Enter the stock arrival date.

• Enter the Purchase Price:

  • Use either the Ex VAT field or the Inc VAT field — not both.

• Select the appropriate VAT Status.

6. Add Mileage and Sale Price

• Enter the mileage (can be left blank if unknown and updated later).

• Enter the intended Sale Price of the vehicle.

7. Display Options and Finalise

• Tick Display Created Vehicle Record if you want the record to open immediately after creation.

• Click Create to complete the process.

• If the display box is not ticked, the system will still:

  • Create the vehicle.

  • Provide a Stock Number on confirmation.
