Trial Balance Mapping

Overview

During implementation, Navigator will schedule a Trial Balance (TB) mapping session to map your accounts into the Navigator nominal structure.

Sometimes the meeting invite is missed or sent to a shared inbox.

This guide explains what to check and how to get the invite resent quickly.

Why This Matters

If the TB mapping call is delayed:

  • your opening balances cannot be loaded

  • your accounts setup is delayed

  • your go live timeline may slip

  • implementation time is wasted

A missing invite is one of the most common reasons mapping sessions do not start on time.

Where the Invite Is Normally Sent

Meeting invites are usually sent to:

  • the email address supplied during onboarding

  • a shared business email such as info@ or accounts@

If your business uses multiple inboxes, the invite may not reach the person expecting it.

What to Check First

Step 1: Check the Inbox and Calendar

Check:

  • your email inbox

  • your calendar

  • deleted items

  • junk/spam folder

If you use Outlook, also check the calendar view directly.

Step 2: Check the Shared Inbox

If the invite was sent to a shared address such as:

  • info@

  • accounts@

  • admin@

Confirm that someone with access has checked the inbox.

Step 3: Search for Key Terms

Search your emails for:

  • Navigator

  • Teams

  • Mapping

  • Trial Balance

  • TB mapping

This is often faster than scrolling.

Step 4: Confirm the Email Address Used

If the invite was sent to the wrong address, it will need to be resent.

Confirm the correct email address with your Navigator contact.

What to Do If You Still Cannot Find the Invite

If you cannot locate the invite:

  1. Contact your Navigator consultant

  2. Ask them to resend the meeting invite

  3. Confirm the correct time and date

  4. Confirm which email address it is being sent to

If needed, request it be sent to:

  • a named user email address (not just a shared inbox)

Recommended Best Practice

To avoid missed invites:

  • use a named email address for implementation calls

  • ensure the accounts team has calendar access

  • avoid relying only on info@ inboxes

  • confirm meeting times by email the day before

What You Should Have Ready for the Mapping Call

Before the TB mapping session, prepare:

  • your latest Trial Balance export

  • your opening balances date

  • details of any control accounts

  • your accountant’s preferred year end structure

This ensures the session runs smoothly.
