This guide explains how to book parts out against a Vehicle Health Check (VHC) within Standard EPOS.
Use this process when workshop recommendations require parts to be added against a VHC job card before invoicing or further workshop processing.

Why This Matters
Correctly booking parts out against a VHC:
- Updates workshop costing accurately.
- Ensures stock movement is recorded.
- Links parts directly to workshop recommendations.
- Keeps invoicing accurate.
- Improves visibility between workshop and parts departments.
Before You Start
Make sure:
- The VHC has already been created.
- The correct vehicle job card exists.
- Required parts exist in stock or supplier search.
- You have access to the VHC screen within Standard EPOS.
Open the VHC
- Open Standard EPOS.
- Navigate to the Workshop area.
- Open the VHC screen.
- Select the VHCs tab.
The system displays the list of active VHC jobs.
Select the Correct Vehicle Job
Locate and open the required VHC job.
Check the following information before continuing:
- Registration number
- Customer name
- Job number
- Vehicle make and model
This ensures parts are booked against the correct workshop job.
Review the VHC Recommendations
Open the Job Card Details section.
Review the recommendations recorded against the VHC.
Examples shown in the process include:
- Battery replacement
- Rear brake work
- Front brake disc replacement
Each recommendation may contain:
- Technician comments
- Authorisation status
- Job status
- Repair descriptions
Confirm which recommendations require parts.
Open Parts on Request
Within the selected VHC:
- Locate the Parts On Request section.
- Select the option to add or search for parts.
This opens the parts lookup window.
Search for the Required Part
Search for the required item using:
- Part number
- Description
- Supplier reference
Review the returned results and confirm the correct part before continuing.
Add the Part to the VHC
- Highlight the required part.
- Confirm the selection.
- Add the part to the VHC request.
The system adds the selected part into the Parts On Request section.
The selected part is added into the Parts On Request section and the pricing values update automatically.
Confirm Pricing Updates
After the part is added, verify:
- Goods value updates correctly.
- VAT calculates correctly.
- Total value updates.
- The part appears in the request list.
This confirms the booking was successful.
Add Additional Parts
Repeat the same process for any remaining VHC recommendations.
Continue until all required parts have been added against the VHC.
Troubleshooting
Part Does Not Appear in Search
Check:
- The part number was entered correctly.
- Supplier search settings are correct.
- The part exists within the system.
Part Does Not Add to the VHC
Check:
- The correct VHC job is open.
- The part was selected before confirming.
- The VHC is still active.
Pricing Does Not Update
Check:
- The part has a retail price.
- VAT settings are configured correctly.
- The part was added successfully.
Wrong Vehicle Selected
Before booking parts out, always confirm:
- Registration number
- Customer name
- Job number
If incorrect, return to the VHC list and reopen the correct job.
