Sales Prep Dashboard

The Sales Prep Dashboard provides a visual representation of the preparation steps required for a sales vehicle before it is retail-ready. It streamlines the process of tracking vehicle statuses and ensures efficient preparation management.

Accessing the Dashboard

The Sales Prep Dashboard can be accessed via:

  • Vehicle Admin Toolkit > Reports > Dashboard

Fixed Statuses

Certain statuses in the dashboard are fixed and cannot be customised. These include:

  • Due In

  • Awaiting Appraisal

  • Appraised

  • Workshop

  • Bodyshop

  • Valet

  • Photos

  • Trade

  • Ready to Retail

Updating Vehicle Status

You can update a vehicle’s status using the following methods:

  1. Drag and Drop:

    • Move vehicles between statuses directly within the dashboard.

    • Colour codes indicate vehicle age:

      • Yellow: 0-30 days

      • Orange: 31-60 days

      • Red: 61+ days

  2. PDI/Prep Tab:

    • Access the PDI/Prep tab in the vehicle stock record to amend the status directly.

It’s crucial to regularly update statuses to reflect accurate progress.

Populating the Dashboard

Preparations can be added to the dashboard through the Vehicle Stock Record > Preparation. For example, if a vehicle requires both glass and dent work, it will appear in the respective columns for these tasks.

Viewing and Managing Preparation Details

  • T-Card Summary: Clicking on a T-Card in the dashboard shows a summary of the PDI/Prep tab.

  • Purchase Orders: While purchase orders cannot currently be created from the dashboard, you can:

    • Navigate to the Vehicle Prep Dashboard and click View Full Stock Record, then select Create P/O under the Preparation tab.

    • Alternatively, use the PDI/Prep tab to create a purchase order.

Completing Preparation Work

Once preparation work is finished and costs are posted:

  1. Go to the PDI/Prep tab.

  2. Single-click the requirement to mark it as complete.

  3. Press Complete to finalise.

Budgeting for Preparation Costs

  1. Access the Stock Record

    • Navigate to the stock record of the vehicle requiring prep work.
    • Open the Preparation screen.
  2. Enter the Non-Mechanical Work Details

    • Locate the section for non-mechanical work.
    • Double-click on the relevant entry to edit.
  3. Set the Requirement & Budget

    • Enter the specific prep work required (e.g., valeting, minor bodywork repairs, or paint touch-ups).
    • Input the estimated budget needed to complete the work.
  4. Review Total Estimated Prep Cost

    • Once the budget is set, the Total Est. Prep Cost window will update to reflect the new value.
    • This helps in understanding the overall cost required to rectify and prepare the vehicle for sale.
