What does status IN, NOT FOR SALE mean?

Modified on Mon, 3 Mar at 11:03 AM

When a vehicle is marked as "IN, NOT FOR SALE", it indicates that the vehicle is in stock but is not available for sale. This typically happens when the "Available for Sale" option is not enabled in the system.

Why Does This Happen?

The "IN, NOT FOR SALE" status is usually caused by the following reasons:

  1. "Available for Sale" Box is Unchecked

    • In the Sales screen of the stock record, there is a setting that determines whether a vehicle is available for sale.
    • If this box is unchecked, the vehicle remains in stock but is not listed as available for sales transactions.
  2. Internal or Reserved Stock

    • The vehicle may be designated for internal use, such as a courtesy car, demo vehicle, or company fleet, rather than for customer sale.
  3. Stock Record Not Fully Completed

    • Some mandatory details (e.g., purchase price, PDI status, or vehicle registration) may be missing, preventing it from being marked as available for sale.
  4. Vehicle Awaiting Preparation

    • If the vehicle is undergoing servicing, inspection, or customisation, it may be temporarily marked as not for sale.

How to Fix the Issue

1. Enable "Available for Sale"

Steps to Check and Update:

  1. Go to Vehicle Administrator Toolkit.
  2. Find the vehicle using its stock number or reg.
  3. Open the Sales screen.
  4. Locate the "Available for Sale" checkbox.
  5. Tick the box and save the changes.

? If the option is greyed out:

  • You may need administrative permissions to update the record.

2. Check If the Vehicle Is Reserved or Designated for Internal Use

Steps to Verify:

  1. Go to the Vehicle Details page.
  2. Look for any status indicating "Reserved," "Fleet," or "Demo."
  3. If the vehicle is internally assigned, consult your manager or admin to change its status.

3. Confirm Stock Record Completion

Ensure the following details are filled in:

  • Purchase details (supplier, cost)
  • PDI and inspection status
  • Registration details
  • Any required approvals or system updates

4. Check Vehicle Preparation Status

If the vehicle is undergoing servicing, modification, or preparation, it may be temporarily restricted from sales. Verify with the workshop or admin team if it’s ready for sale.
