Raise a Sales Order

There are two methods to create a Sales Order using the Vehicle Administrators Toolkit:

  1. Select the Sales Orders button on the Vehicle Administrators Toolkit.
  2. Select the Create Order button within a stock record.

Creating a Sales Order Against a Stock Record

  1. Access the Vehicle Administrators Toolkit:

    • From the Navigator Main Menu, go to:
      Vehicles > Vehicle Administrators Toolkit
  2. Search for the Stock Record:

    • In the window that appears, search for the required stock record.
    • Once the record is on screen, go to the Sales Status tab. A window like the one below will appear:


Create the Sales Order:

  • Under the Processing tab, select the Sales Order button. A new window will appear.


  

Select the Customer:

  • After choosing the appropriate customer, the next window will appear.


 

Adding Details to the Sales Order:

  • Use the tabs to add relevant items such as RFL, warranties, and Part Exchanges (using the "Add" button).



Finalise the Order:

  • When all details are completed, select the Raise Order button. The following window will appear:



Order Details:

  • Deposit: Enter the deposit amount if the customer is paying one. (Post the deposit immediately as a receipt against the deal.)
  • Customer Order No: Enter an order number if required.
  • Estimated Delivery Date/Time: Enter the estimated delivery date and time.
  • Customer Category: Select the customer’s category from the dropdown menu.
  • Number of Copies to Print: Enter how many copies of the order to print. If no copies are needed, enter "0".

Once all details are filled in, select Confirm. The order will then be raised against the stock record.


Managing Job Requests:

  • Add Job: Enter a description of the job and select OK. The item will appear under Job Request.
  • Remove Job: Highlight the line under Job Request and select Remove Job to delete the job from the list.

Create a Workshop Order:

  • To create a workshop job at this stage, select the Create Workshop Order option. This will generate a workshop job for all items listed under Job Request and appear on the Workshop Order window. The workshop job will also be visible under the PDI/Prep tab under Jobs in Progress.

  • If you do not want to raise a workshop job at this point, press Cancel to return to the main stock record screen.

Stock Record Status:

  • Once the sales order is raised, the stock record status will update to Sold. An example of this status change is shown below:
