Technician Clockings in Navigator: A Complete Guide

Modified on Thu, 1 May at 1:08 PM

Technician clocking in Navigator ensures accurate tracking of workshop time, enabling service departments to monitor technician productivity, manage job progress, and record non-productive time. This system is designed to capture when technicians clock in/out of the workshop, when they start/stop working on jobs, and any time spent on breaks or awaiting parts.

This guide explains how to use the clocking system, how to resolve common errors, and how to interpret the system’s visual indicators.

Accessing the Technician Clock

Logging In

  1. Use a touchscreen terminal where available, or a keyboard and mouse.

  2. Log into Navigator using the generic technician login (issued by your service manager).

  3. From the left-hand Workshop dropdown, select Technician Clock Module.

The system will display all technicians under the heading Not In, with each shown as a grey tile.

Clocking In and Out

Clocking In

  1. Click the technician’s tile (e.g. Technician 3 - Jim Marrison).

  2. Enter the technician number in the password box.

  3. Select Clock In.

  • The technician’s tile turns orange and moves to the In section.

  • Their status becomes Waiting for Job.

Clocking Out

  1. Click the technician’s tile.

  2. On the right, click Clock Out.

  3. Enter their technician number and confirm.

The tile returns to grey and moves back under Not In.

Clocking Onto and Off Jobs

Technicians can be set to clock:

  • Onto each individual job line, or

  • Onto the job as a whole (this is determined by a system parameter – see Warranty Setup for changes).

Job Clocking Process

  1. Select the technician tile.

  2. Choose Clock onto job card or use Switch Job Lines if applicable.

  3. To temporarily stop work (e.g. breaks or parts delay), update:

    • The Job Status tab (updates reception view).

    • The Non-Productive tab (updates technician status).

Important: A technician cannot clock onto multiple job cards at once, but multiple technicians can clock onto the same job cardScript - 13b Technician….

Completing Jobs

  1. Select the Tyre Depths tab and input current values.

  2. Go to the Mileage tab and enter the vehicle mileage.

    • If the mileage is lower than previously recorded, the system will display an errorScript - 13a Technician….

  3. Go to the Job Status tab and select Complete.

  4. Finally, choose a Non-Productive Code for the technician.

If any required field is missed (e.g. mileage), the system will prevent job completion.

Changing Non-Productive Status

To update a technician’s non-productive code:

  1. Select the technician's name tab.

  2. Click Change Non-Productive.

  3. Choose the appropriate code from the list.

Visual Indicators and Tile Colours

Understanding tile colours helps monitor technician and job statuses:

ColourMeaning
GreyTechnician is not clocked in
Light SalmonTechnician is clocked in but not on a job or on a non-productive code
YellowJob has less than 1 hour remaining on allocated time
Light GreenJob is on schedule
Misty RoseJob is over the allocated time                                      Script - 13c Technician…

Error Messages

Common error triggers include:

  • Trying to clock onto a job that hasn’t been accepted into the workshop.

  • Attempting to clock onto a job that has already been invoiced.

  • Entering a mileage lower than the last recorded figure.

These errors prompt on-screen messages, requiring correction before continuing.

Summary

Navigator’s Technician Clocking module is a powerful tool for managing workshop operations, improving visibility into technician efficiency, and ensuring accurate job tracking. When used correctly, it provides real-time insight into job progress and supports better scheduling and reporting.
