Using the Clock Card Report

The Clock Card in Navigator is a detailed reporting and management tool for reviewing and editing technician time records. It displays daily attendance, job time, invoicing data, and bonus information—making it an essential resource for payroll, bonus tracking, and technician performance management.

Clock Cards are typically used by service managers and the accounts department to verify pay, adjust time records, and investigate discrepancies in technician performance or reporting.


Accessing the Clock Card

To open the Clock Card:

  1. Log into Navigator using your staff number and password.

  2. On the left-hand menu, open the Workshop dropdown.

  3. Select the Service Manager’s Toolkit.

  4. Click on the Clock Card icon at the top of the screen.


Viewing a Technician's Clock Card

  1. Use the Technician Number dropdown to select a technician.

  2. Click the Display button.

This will display clockings for all seven days of the current week, starting from Monday.

  • Use the +7 or -7 buttons to move forward or back one week at a time.


Understanding the Clock Card Tabs

1. Clocking Analysis Tab

Provides a breakdown of:

  • Attendance – Total time clocked in for the day.

  • On Jobs – Time spent actively working on jobs.

  • WIP Adjustment – Net time difference between jobs invoiced on another day and actual hours worked.

  • Hours Invoiced – Time on jobs that were invoiced that day.

  • Utilisation (%) – Time on jobs ÷ Time attended × 100.

  • Efficiency (%) – Scheduled time ÷ Time taken × 100.

2. Invoice Analysis Tab

Shows:

  • All jobs invoiced for the selected day.

  • Any bonus amounts recorded for those jobs.

Clicking any date box will update the data displayed.


Editing and Managing Clockings

Printing

  • Click the Print button to print a full report for the selected technician and weekScript - 14a  Clock Card.

Updating Clockings

  1. Right-click a job line.

  2. Select Update Clocking.

  3. Edit times or pay and click OK.

    • The system will automatically adjust adjacent clockings to avoid overlap.

Updating Bonuses

  1. Right-click the relevant job line.

  2. Choose Update Bonus, enter the value, and click OK.

Adding Clock Lines

  1. Click Add Clock Line (bottom right).

  2. Enter the job number, date, clock in/out times.

  3. Click Update.

Adding Non-Productive Time

  1. Click Add Non Productive (bottom right).

  2. Select a Non-Productive Code from the dropdown.

  3. Enter the date, clock on/off time, and confirm.

Deleting Clock Lines

  1. Select the line you want to remove.

  2. Click Delete Clock Line.

Amending Clocking Times

  • Double-click the time you want to change and enter a new value.

Note: You cannot edit clockings if the technician is currently clocked in.


Troubleshooting and Best Practices

  • Incorrect Pay or Bonus: Use the right-click options to update entries.

  • WIP Discrepancies: Use the WIP Adjustment figures to trace misaligned invoicing.

  • Missing Clockings: Add clock lines or non-productive entries manually to ensure records are complete.

  • Active Technicians: Ensure technicians are clocked out before making time amendments.
