How to Book Technicians on Holiday or Mark as Absent

Booking technicians as absent in Navigator ensures their availability is correctly reflected in the workshop diary, helps avoid scheduling conflicts, and ensures accurate reporting for payroll and performance metrics. This guide outlines how to add, edit, and delete absence entries such as holidays, appointments, or sick leave using the Service Manager's Toolkit.


Booking a Technician as Absent

Step-by-Step Instructions

  1. Log into Navigator

    • Enter your allocated staff number and password.

    • Press Enter to log in.

  2. Navigate to the Absence Screen

    • From the left-hand menu, select the Workshop dropdown.

    • Click Service Manager’s Toolkit.

    • At the top of the screen, click the Update icon.

  3. Select the Technician

    • Enter the technician’s number or select their name from the dropdown list.

    • Click Load to display their workshop details.

  4. Add an Absence Entry

    • Under the Absence section, click the Add button.

    • Use the calendar tools (or type manually) to select:

      • Start date of absence

      • End date (or return date)

    • Adjust the time from/to fields if the absence is only partial (e.g. half day).

    • Choose an absence reason from the dropdown.

    • Click Confirm.

  5. Save the Absence

    • The absence will appear in the list.

    • Review the entry, and if correct, click the Update button at the bottom right to save.

Reporting Impact

  • Absences logged in this way will appear on the technician’s clock card report, including:

    • The dates

    • Duration

    • Absence reason

This helps support payroll and ensures workshop schedules reflect real-time availability.


Deleting a Technician’s Absence

If a previously entered absence is no longer required, you can remove it:

  1. Load the technician as described above.

  2. In the Absence box, select the specific line you wish to delete.

  3. Click the Delete button.

  4. Click Update to finalise the change.

Important Warning:
Do not click the Delete button at the top of the screen unless you intend to permanently remove the technician from Navigator.

If this is selected by mistake, you will see an irreversible warning message:
“Are you sure you wish to delete this technician? This is irreversible.”
