Understanding the Cost Analysis in the Stock Record

Modified on Sat, 21 Jun at 9:33 AM

The Cost Analysis section within a stock record is a vital tool for tracking and managing the financials associated with a vehicle deal. It provides a clear breakdown of all costs posted against the deal, helping users understand how the Stand In Value (SIV) of a vehicle is calculated.

This information is essential for maintaining accurate profit calculations, auditing supplier charges, and ensuring that all vehicle-related expenses are accounted for before the vehicle is sold or invoiced.

What the Cost Analysis Shows

The Cost Analysis details all costs that have been recorded against the stock item. This includes:

  • Supplier Name - The vendor to whom the cost was attributed.

  • Cost Value - The monetary amount of the cost.

  • Batch Number - If applicable, the batch number linked to the cost posting.

  • Invoice Number - Reference to the supplier invoice used.

  • Date of Cost - The date on which the cost was posted.

These elements come together to form the total SIV, giving a comprehensive view of how the vehicle's current valuation is built up from posted costs.

Why It Matters

Monitoring the Cost Analysis allows teams to:

  • Verify that all expected costs have been accounted for.

  • Ensure accurate vehicle valuation prior to sale.

  • Identify data entry or posting errors.

  • Maintain transparency for audit and reconciliation purposes.

Troubleshooting Missing Costs

If you notice that certain expected costs are not appearing in the Cost Analysis, this is typically due to one of the following reasons:

  • The cost has not yet been posted.

  • The cost exists in the system but has not been assigned to this stock item.

How to Assign Missing Costs

To assign a cost to a vehicle record:

  1. Go to the Preparation tab within the stock record.

  2. Click the "Assign" button.

  3. From there, you can match unassigned costs to the appropriate vehicle.

This action will update the Cost Analysis and contribute to a more complete and accurate SIV.
