How to Obtain Customer Data for a Subject Access Request (SAR)

Modified on Sat, 8 Nov at 9:38 AM

This guide explains how to extract and provide customer data when responding to a Subject Access Request (SAR).
A SAR allows a customer to request a copy of all personal data held about them, as required under data protection laws.

Why This Matters

Responding accurately to a SAR ensures compliance with UK GDPR and Data Protection Act requirements.
Navigator makes this process simple by allowing you to generate a full record of customer data directly from the system.

Steps to Obtain Customer Data

Step 1: Open the Customer Record

  1. Go to Marketing > View Customer/Prospect.

  2. Use the search bar to find the customer by name, postcode, or account number.

  3. Open the customer record once located.

Step 2: Print Customer Details

  1. Within the customer record, click Print Details.

  2. The system will generate a report containing:

    • Personal and business contact information

    • Communication history

    • Notes, interactions, and other linked data

Step 3: Save the File

  1. When the print window opens, choose Save as PDF instead of printing.

  2. Save the file securely on your computer.

  3. Review the document before sharing to ensure it only includes relevant personal data.

Best Practices

  • Verify the Request: Always confirm the identity of the requester before sending data.

  • Use Secure Delivery: Send the PDF via encrypted email or secure file transfer.
