Cash Flow: Blocked invoicing directly delays payment and impacts the dealership's liquidity.
Month-End Pressure: Unfinished jobs prevent the service department from closing the month on time, leading to reporting delays.
Common Causes for Invoicing Blocks
Active Job Status The job is still technically set to In Work.
Technician Clockings A technician is still actively clocked onto the job, or a clocking remains "open" in the background.
Incomplete Line Status One or more individual lines on the job require a "Completed" status, even if the overall job seems finished.
Workflow Rule Conflicts Non-labour lines (such as parts-only or sublet) have been added, but system workflow rules still require a formal "Job Completion" trigger.
What to Check: Step-by-Step
Step 1. Check Overall Job Status
Open the job in the workshop module.
Look at the Status field displayed on the main job screen.
The Rule: If the status shows In Work, the invoice button will remain inactive or blocked.
Step 2. Confirm Technician Activity
Check the technician time-log for the job.
Identify if any technician is still marked as "Active."
Action: If a technician is still clocked on, request that they Clock Off and mark the task as Completed.
Step 3. Verify Individual Line Status
Review the lines list within the job.
If your system configuration uses Authorised Flags or Completion Flags per line, confirm that every required line has been ticked or updated to reflect its final state.
