Why Is Sales Pushing Unwanted Lines Into Workshop?

Sales orders can inadvertently trigger unnecessary workshop requests when dealer options are used incorrectly. This usually occurs when the system interprets an administrative or financial item as a physical part that requires fitting.

Why This Matters

  • Resource Waste: Service Advisors and Technicians waste time investigating "jobs" that don’t exist.

  • Administrative Noise: The workshop job list becomes cluttered, making it harder to track genuine work.

  • Invoicing Delays: Unwanted lines must be cleared or handled before a job can be fully invoiced, slowing down the process.


The Root Cause: "Fit Required" Logic

Navigator assumes that anything listed under Dealer Options is a physical accessory that requires labour.

  • The Mistake: If Sales adds a warranty, an admin fee, or a paint protection policy as a "Dealer Option," the system automatically creates a workshop request to "fit" that item.


The Correct Method for Sales

  • Warranty Products Always use the dedicated Warranty Tab, not the Dealer Options section.

  • Accessories (Fitted) Use Dealer Options for physical items (e.g., tow bars, floor mats).

  • Validation: Before finishing the order, Sales must confirm that the workshop request list includes only items requiring physical action.


How Sales Can Prevent Unwanted Lines

  1. When raising the sales order, pay close attention to the Workshop Request Box.

  2. Review every line appearing in that box.

  3. Action: Remove any lines that do not require workshop fitting by double-clicking them to clear them from the request.


How Service Should Handle Unwanted Lines

If unwanted lines have already arrived in the workshop, follow these steps to clear the "noise":

  1. Open the Job Request List.

  2. Locate the unwanted line (e.g., "Paint Protection" or "Admin Fee").

  3. Double-click the line and untick the Authorised box.

  4. Result: The line remains visible for audit purposes but will not be pushed onto a job card or block invoicing.


Process Tip: Internal Sales Reminder

To keep the system clean, ensure the Sales team follows these three rules:

  • Warranty stays in the Warranty tab.

  • Dealer Options are for accessories and fitted items only.

  • Review the Request Box every time before sending a deal to the workshop.
