Why Can’t I Reprint a Purchase Invoice?

A common query in Navigator is the inability to find a "Reprint" button for purchase invoices. Once a purchase invoice has been posted, the system records the financial transaction and the audit trail, but it does not store a digital printable copy for future re-output.

Why This Matters

  • Audit Gaps: Missing physical or digital copies of invoices can lead to gaps in your financial records.

  • Internal Friction: It causes delays when the Accounts team or Department Managers need to verify costs against specific vehicle records or workshop jobs.


What to Do Instead

If a printed copy is essential and was not produced at the time of posting, you cannot simply "re-click" a print button. You must follow the correction workflow:

  1. Reverse the Posting: Enter a reversal (credit note) with a negative value to cancel out the original entry.

  2. Repost Correctly: Re-enter the invoice details.

  3. Select Print: Ensure the Print option is selected before you commit the posting.

To avoid the need for reversals, adopt this three-step check before every posting:

  • Confirm Print Settings: Ensure your printer or PDF redirector is ready and active.

  • Verify the Posting Tick: Confirm the "Post" and "Print" selections are correctly toggled.

  • Final Review: Only then click Post.
