How to Run an Aged Vehicle Stock Report

Modified on Thu, 22 Oct at 4:38 PM

The Age Stock List allows you to see how long vehicles have been held in stock, grouping them into ageing periods such as 30, 60, 90 and 120 days.

This is useful for identifying older stock, reviewing stock levels across branches and monitoring vehicles that may require attention.

1. Open the Age Stock List

  1. Navigate to Vehicles > Sales Manager's Toolkit.

  2. Select Reports > Age Stock List.

  3. The report options will appear, allowing you to choose your ageing periods, branches and vehicle filters.

2. Set Your Ageing Periods

You can choose how you want Navigator to group vehicles based on the number of days they have been held in stock.

For example, enter the following values into the ageing fields:

Ageing fieldEnter
First30
Second60
Third90
Fourth120

Navigator will use these values to group vehicles into ageing bands.

For example:

  • 0–30 days: Vehicles held in stock for up to 30 days.

  • 31–60 days: Vehicles held for 31 to 60 days.

  • 61–90 days: Vehicles held for 61 to 90 days.

  • 91–120 days: Vehicles held for 91 to 120 days.

  • Over 120 days: Vehicles held for longer than 120 days.

You can change these values to suit your dealership's reporting requirements.

3. Select Your Branches

If you need to report on vehicles across multiple branches:

  1. Click the Branch Selection option.

  2. Tick the branches you want to include.

  3. Apply your selection.

This allows you to review aged vehicle stock across several dealership locations within the same report.

4. Choose Your Vehicle Filters

The Age Stock List includes additional options to control which vehicles appear.

You can:

  • Include Sold Vehicles: Include vehicles that have already been sold, if required.

  • Filter by Vehicle Type: Restrict the report to particular vehicle types.

For a typical aged stock review, you would generally focus on vehicles that are currently in stock and available for sale.

5. Run the Report

Once you have entered your ageing periods and selected the relevant branches and filters:

  1. Click Report.

  2. Navigator will generate the Age Stock List.

  3. Review the vehicles within each ageing band.

This makes it easier to identify vehicles that have been in stock for longer periods, particularly those exceeding 90 or 120 days.

6. Export the Report

If you need to work with the results outside Navigator:

  1. Right-click anywhere within the report.

  2. Select the relevant export option.

  3. Choose your preferred format, such as Excel or CSV.

  4. Save the exported file.

This can be useful for management reporting or further stock analysis.

What Is the Difference Between the Stock List and Age Stock List?

Stock ListAge Stock List
Displays individual vehicles and their stock informationGroups vehicles into ageing periods
Shows vehicle age in daysOrganises vehicles into bands such as 0–30, 31–60 and 61–90 days
Useful for reviewing individual vehicle recordsUseful for identifying and analysing ageing stock

Both reports are useful, but the Age Stock List is generally better suited to reviewing how long vehicles have been held in stock.

Important Points to Remember

  • Ageing periods are measured in days, not months.

  • You can customise the ageing periods to meet your dealership's requirements.

  • Multiple branches can be included in the same report.

  • Sold vehicles can be included if required.

  • The report can be exported to Excel or CSV for further analysis.

Summary

To see which vehicles have been in stock for 30, 60, 90 or 120 days, navigate to Vehicles > Sales Manager's Toolkit > Reports > Age Stock List.

Enter your ageing periods, select the required branches and filters, then click Report.

Navigator will group vehicles by age, helping you identify older stock and monitor stock movement more effectively.
