How to Run a Vehicle Stock List Across Multiple Branches

Modified on Thu, 22 Oct at 4:26 PM

The Vehicle Stock List allows you to view vehicles across one or more branches, including vehicles that are in stock, sold or currently on order.

By default, the report focuses on vehicles that are in stock and available for sale. However, you can adjust the filters to include a wider range of vehicles.

How to Run the Vehicle Stock List

  1. Navigate to Vehicles > Vehicle Admin Toolkit.

  2. Select Reports > Stock List.

  3. Use the Branch Selection option to choose which branches you want to include.

  4. If required, enter a Stock Number or Registration Number to search for a specific vehicle.

  5. Review the available filters.

  6. Select Search to generate the stock list.

The report will display vehicles matching your selected criteria.

How to Include Vehicles That Are Not Available for Sale

By default, the Stock List is filtered to show vehicles that are currently in stock and available for sale.

If you need to view additional vehicles, such as those on order from a manufacturer or vehicles that have already been sold:

  1. Open the Stock List report.

  2. Untick In Stock to remove the restriction to vehicles currently in stock.

  3. Untick Available for Sale to include vehicles that are not currently available for sale.

  4. Run the search again.

This provides a broader view of vehicle stock, including vehicles that may not yet have arrived at the dealership.

How to Search Across Multiple Branches

You can include vehicles from several branches within the same stock report.

  1. Open Vehicles > Vehicle Admin Toolkit > Reports > Stock List.

  2. Click the Branch Selection option.

  3. Tick the branches you want to include.

  4. Apply any additional filters.

  5. Run the report.

This is particularly useful when reviewing vehicle stock across multiple dealership locations without having to run a separate report for each branch.

Understanding the Stock List

The Stock List provides useful information about each vehicle, including its current status and how long it has been held in stock.

For example:

InformationWhat it means
Stock NumberNavigator's reference for the vehicle
RegistrationVehicle registration number, where available
StatusWhether the vehicle is in stock, sold, on order or at another stage
AgeNumber of days the vehicle has been held in stock

The Age column is particularly useful for identifying vehicles that have been held in stock for longer periods.

For a more detailed breakdown of vehicles by ageing periods, you can use the Age Stock List within the Sales Manager's Toolkit.

Important Points to Remember

  • The Stock List shows vehicles that are in stock and available for sale by default.

  • Unticking In Stock and Available for Sale allows you to include a wider range of vehicle statuses.

  • You can select multiple branches within the same report.

  • You can search for individual vehicles using their Stock Number or Registration Number.

  • The report can also assist with reviewing and reconciling vehicle stock balances.

Summary

To view vehicles across multiple branches, navigate to Vehicles > Vehicle Admin Toolkit > Reports > Stock List and select the required branches.

If you want to include vehicles that are on order, sold or otherwise unavailable for sale, untick the In Stock and Available for Sale filters before running the report.

This allows you to review a more complete picture of your dealership's vehicle stock.
