System-Calculated Service Dates Appearing

Modified on Fri, 29 Nov at 11:40 AM

The system is designed to calculate service dates automatically, even if no service has been carried out. This functionality ensures that service dates are always present and moved forward as needed, preventing gaps in scheduling or oversight. Since there is no central database for service dates, this feature is crucial to maintaining accuracy and ensuring service dates are not missed.

When Releasing Jobs

Before releasing a job, it is essential to check and update the service date to ensure it reflects accurate and up-to-date information.

Why Are Service Dates Now Calculated Automatically?

Purpose of Auto-Calculated Dates

  • To ensure a service date is always present in the system, even if no historical service data is available.
  • To allow the system to update and maintain service schedules automatically, reducing the risk of missed services or incorrect data.

Handling the Absence of a Central Database

Since the system does not rely on a centralised database for service dates, it uses automated calculations to generate default values. This ensures there are no blank or outdated entries in service records.

Service Date Issue Identified and Resolved

An issue was previously identified where:

  • Service dates were blank or incorrectly displayed as 1968 due to missing or incomplete data.

Resolution

To address this, we implemented a recalculation of service dates based on the following criteria:

  1. Last Recorded Service Date:
If a service history exists for the vehicle, the date of the most recent service was used.

  2. Vehicle Registration Date:
If no service history is available, the vehicle's registration date was used as the default.

This approach ensures all vehicles have a meaningful service date, reducing inaccuracies in the system.

What You Need to Do

Checking and Updating Service Dates

When processing a job:

  1. Review the Service Date:

    • Check the system-generated service date to confirm it is accurate.
    • Look for any anomalies or incorrect entries.
  2. Update if Necessary:

    • If the service date needs to be corrected (e.g., after a recent service or customer input), update it in the system before releasing the job.
