How to Add a Missing Vehicle to a Customer Record - Using VRM and Manually

Method 1: Adding a Vehicle Using VRM Lookup

If the vehicle registration is recognised by the system’s VRM data provider, you can add the vehicle quickly using automatic lookup.

Step-by-Step Instructions

  1. Navigate to Marketing > View Customer/Prospect.

  2. Use the search tools to locate the customer record.

  3. Double-click the customer’s name to open their profile.

    • If the customer has multiple vehicles, double-click on any of the vehicles to access their record.

  4. Once inside the customer record, go to the Vehicle tab.

  5. Click Update next to the registration field.

  6. Click Add and enter the registration number (Reg No).

  7. The system will automatically perform a VRM lookup to retrieve vehicle details.

  8. Click Save & Close to finalise and link the vehicle to the customer.

This method is fast and ensures that accurate and complete technical data is pulled into the record.


Method 2: Adding a Vehicle Manually (When VRM Fails)

If the system fails to return vehicle data (e.g. the registration is too new, too old, or unlisted), you can still manually add the vehicle.

Manual Entry Process

  1. Follow steps 1 to 4 from the VRM process above.

  2. Click Update, then Add, and enter the registration number.

  3. Do not press the VRM button or wait for the lookup.

  4. Click Change to manually input the vehicle’s:

    • Make and model

    • Derivative

    • Colour

    • Fuel type

    • Transmission

    • Any other available technical information

  5. Once complete, click Save & Close.

Manual entry ensures that the record can still be created and used even if third-party VRM data is unavailable.
