Using Vehicle Administration Toolkit Reports

This guide outlines the key reports available in the Vehicle Administration Toolkit within Navigator. These reports help dealership teams monitor vehicle stock, outstanding debt, order progress, quotation statuses, and other administrative actions.

Access to these reports allows for real-time decision-making, financial visibility, and task management across the sales and admin departments.


Accessing Reports

  1. Launch Navigator.

  2. Open the Vehicle Administration Toolkit.

  3. Click the Reports tab at the top of the screen.

You will now see all available vehicle admin reports.


1. Stock List Report

Purpose:

Displays a real-time list of vehicles currently in stock.

Key Points:

  • Default view shows unsold, in-stock vehicles only.

  • You can modify filters to include sold or pipeline vehicles.

  • Double-click a vehicle to open the stock record.


2. Vehicles to Order Report

Purpose:

Shows vehicles that have been sold but not yet ordered.

Key Points:

  • Only includes vehicles that are:

    • Not yet in stock

    • Have a completed sales order

  • Used to identify which vehicles need ordering from suppliers.


3. Quotations Report

Purpose:

Lists all open quotations created in the system.

Key Points:

  • Double-click an entry to view the quotation on screen.

  • These are not confirmed sales orders.

  • Helps track active quotes and follow-ups.


4. Order Book Report

Purpose:

Shows all vehicles that have been sold but not yet closed.

Key Points:

  • Vehicles are removed from this report once the deal is closed.

  • You can:

    • Single-click to view the Profit Analysis

    • Double-click to open the sales order


5. Debtors Report

Purpose:

Lists vehicles with outstanding balances.

Key Points:

  • Includes:

    • Total amount due

    • Deposits received

    • Finance commission due

  • Double-click a record to view the Debtors tab in the stock record.


6. Actions Report

Purpose:

Highlights stock records that require administrative action.

Common Triggers:

  • Unallocated costs

  • Overdue delivery dates

  • Missing key data

Key Points:

  • Double-click a stock record to open it and resolve the outstanding action.


7. Till Reconciliation Report

Purpose:

Summarises payments and payment methods for a selected date.

Use Case:

  • Useful for end-of-day cashing up and reconciliation across:

    • Card

    • Cash

    • Bank transfers

    • Other payment types
