How to Build a CAP Code on a Vehicle Record

Modified on Tue, 10 Mar at 8:50 AM

CAP codes identify a vehicle using the CAP database. The CAP code links the vehicle to standard vehicle specifications and valuation data.

You build the CAP code directly from the vehicle stock record. Once the vehicle details are entered, the system generates the CAP ID automatically.

This process ensures the vehicle record contains the correct CAP reference.

Open the Vehicle Record

  1. Open Vehicle Admin Toolkit.

  2. Locate and open the required stock record.

  3. Select Extended Information.

The extended information screen contains the CAP tools used to build or link the vehicle CAP record.

Build the CAP Code

  1. In Extended Information, select Build CAP Code.

  2. The CAP lookup window opens.

This allows you to enter the vehicle details used to identify the correct CAP record.

Enter the Vehicle Details

Enter the required vehicle information.

Typical details include:

• Manufacturer
• Model
• Derivative
• Registration year
• Engine size
• Fuel type
• Transmission

As the vehicle details are entered, the system searches the CAP database for a matching vehicle.

Generate the CAP ID

Once the correct vehicle is identified:

  1. Select the matching vehicle record.

  2. Confirm the selection.

The system generates and applies the CAP ID to the vehicle stock record automatically.

Result

After the CAP code is built:

• The vehicle record contains the CAP ID
• The vehicle is linked to the CAP database record
• CAP-based information can be used against the vehicle

Why This Matters

Using the correct CAP code ensures the vehicle record links to the correct specification and valuation data. This improves reporting accuracy and ensures vehicle information remains consistent across the system.
