How to Complete Part Stock Takes

Modified on Fri, 7 Feb at 9:01 AM

Maintaining accurate stock levels is essential for efficient inventory management. Daily stock takes help ensure consistent accuracy throughout the year, while full stock takes provide a complete overview of all parts in inventory.

Daily Stock Takes

Daily stock takes are designed to keep stock levels precise and help prevent discrepancies before they become major issues. Performing these regularly ensures that a full stock take is completed annually as part of an ongoing process.

Steps to Conduct a Daily Stock Take:

  1. Automatic Sheet Printing:

    • Each morning when you log in, the stock take sheets will automatically print.
    • To access them manually, navigate to Parts > Point of Sale.
  2. Access Daily Stock Take Sheets:

    • Go to Parts > Stock Take > Daily Sheets to review the printed sheets.
  3. Input Stock Levels:

    • Physically check the parts listed on the sheets and input the stock levels into the system.

Key Benefits of Daily Stock Takes:

✅ Helps identify discrepancies early.
✅ Ensures stock levels are accurate before fulfilling customer orders.
✅ Reduces the workload during full stock takes.

Full Stock Takes

A full stock take is typically conducted annually to verify the entire inventory. Unlike daily stock takes, a full stock take involves every part in stock, ensuring total accuracy in records.

Important Notes on Full Stock Takes:

  • Parts with a bin location marked as "NOT STOCKED" (with zero quantity) are excluded from the process.
  • A full stock take can be run at any time during the day, allowing flexibility in scheduling.

Steps to Conduct a Full Stock Take:

  1. Initiate the Full Stock Take:

    • Navigate to Parts > Stock Take > Sheets to print the complete stock take sheets.
  2. Enter Stock Data:

    • Go to Parts > Stock Take > Enter Screen and input the sheet numbers corresponding to the stock count.
  3. Update Stock Levels:

    • Continue entering and verifying stock levels until all sheets are completed.

Why Full Stock Takes Are Essential:

✅ Provides a comprehensive inventory check for audit and compliance.
✅ Ensures stock accuracy across all locations.
✅ Highlights any discrepancies missed in daily stock takes.
